Billing and Insurance

We participate with most insurance plans in the area.

Good communication between our office and your insurance company can help get claims paid accurately and quickly. To help with that, please remember to:

  • Contact your insurance company and verify:
    • OAW participation in your particular plan
    • Your benefits
    • Whether or not you need a referral from your Primary Care Provider (PCP)
  • Bring your insurance information to every appointment
  • Notify us as soon as possible if your insurance changes

In liability/motor vehicle cases, claims will be filed with your personal health insurance carrier. The exception to this is if you have Medicare, in which case we are required by law to file with the liability/motor vehicle insurance. Please notify reception when you check in and they will help you with the appropriate paperwork.

Upon request, we will supply you with copies of your billing or claim forms for submission to the liability/motor vehicle carrier.

We work closely with workers’ compensation plans, employers and patients to smoothly process claims under workers’ compensation insurance. Our team will help navigate your care and the claims processing so you can focus on getting better.

Please note: it is important to communicate your injury to your employer as soon as possible! They must file the claim with their workers’ compensation insurance carrier in order for us to be able to bill under workers’ compensation.

When you call to schedule an appointment, please have the following information available:

  • The name of your employer
  • The name and phone number of the contact person (supervisor or human resources)
  • The date of the injury
  • The name of the Workers’ Compensation Carrier and the claim number

We will ask you to complete a form with detailed information regarding your injury. Please bring the workers’ compensation insurance information and claim number to your first appointment, if possible.

Please be aware that we will also request your personal insurance information. If your workers’ compensation insurance denies your claim for any reason, we will bill your personal insurance on your behalf.

Care Credit

Care Credit is a health, wellness, and personal care credit card that you can use at OAW and other health care providers in the Wausau area.

The Orthopaedic Associates of Wausau business office staff are happy to assist you with questions regarding our financial policy.

Some helpful definitions when reading your Explanation of Benefits or your OAW statement:

Copayment

A flat fee you pay on the spot each time you go to your doctor for covered medical services (such as an office visit) regardless of the cost of the services. The amount is often printed on your health insurance ID card. The remaining balance is billed to your insurance company.

Co-insurance

A percentage of the costs that are your responsibility after meeting your deductible.

Deductible

An amount that must be paid by you each year for covered healthcare services before your insurance begins paying their share of the cost.

Out-of-pocket maximum

The most you could pay for covered medical expenses in a year. This includes the amount you spent on deductibles, copays, and coinsurance.

Contractual Adjustment

This is the difference between what your doctor billed and what your insurance allows as per their contract with your provider. You are not responsible for payment of these amounts.
